Admin and Premises Assistant
Full-time | Term Time Only (plus 2 inset days) | Required from September 2005
Working Hours: Monday to Friday, 7.30am – 3.30pm, with some flexibility required. Term Time Only plus 2 inset days.
Salary: Grade 4.4, £24,404 per annum (Term Time only £20,691)
Location: Drayton Community Primary School, near Abingdon, South Oxfordshire
We are seeking a reliable, organised, and proactive individual to join our friendly school team. This dual-role position combines administrative duties within the school office with practical support for the general upkeep and maintenance of the school premises. The successful candidate will play a key part in ensuring the smooth day-to-day running of the school, providing a warm welcome to pupils, parents, carers and visitors, while also carrying out minor repairs and ensuring the school environment remains safe and well-maintained.

Key Responsibilities:
Administrative Duties:
- Provide front-of-house reception services – greeting visitors, answering calls, handling enquiries (following confidentiality, safeguarding procedures and policies).
- Manage pupil wrap around care and club registers.
- Input student absences onto the management system.
- Inputting new students onto the management system.
- Manage and monitor incoming email correspondence, ensuring timely dissemination of information and responding to inquiries as needed to facilitate effective communication.
- Assist the with administration of school trips and events
- Assist with correspondence, photocopying, filing, and other general administrative tasks.
- Support the Senior Leadership Team and Office Manager with administrative tasks as required.
- Handle first aid incidents and maintain medical records and reporting (training provided if necessary).
- Manage office supplies, placing orders as needed and delivering goods around the school.
- Cover lunch hall duties as required.
- Assist in emergency situations as directed by the Office Manager or Senior Leadership Team.
Maintenance & Premises Support:
- Conduct regular inspections of school facilities to identify and address maintenance needs.
- Report any damages or safety hazards to the Office Manager in a timely manner.
- Carry out minor repairs and general maintenance tasks (e.g. painting, fixing fixtures, unblocking sinks/toilets, path clearance, gritting paths, weeding).
- Conduct regular Health & Safety checks (e.g fire alarm tests, monitoring lighting, heating and security systems and reporting any faults).
- Support with setting up rooms for events and school activities.
- Report and liaise with external contractors for larger repairs or compliance work.
- Routinely maintain clean and tidy grounds and respond to incidents of spillages.
- Adhere to health and safety regulations, ensuring safe working practices are followed at all times.
- Work collaboratively with teachers, staff, and administration to support the overall upkeep of the school environment.
Person Specification:
Essential:
- Proven administrative experience in a busy office environment, with a strong attention to detail.
- Practical experience in maintenance or DIY tasks to a safe, quality standard.
- Strong communication and interpersonal skills.
- Ability to manage time effectively and work independently.
- Proficient in Microsoft Outlook, Word and excel, data entry.
- Warm, friendly and approachable manner, especially with children and families.
- Comfortable working indoors and outdoors in various weather conditions.
- Enhanced DSB (or obtained before employment)
Desirable:
- Previous experience in a school or educational setting.
- First aid qualification (or willingness to undertake training).
- Understanding of health & safety responsibilities in a school environment.
