Job Introduction

Job Title: Front of House Administrator

Responsible to: School Business Manager 

Start Date: 1st September 2026 (Plus training days) 

Hours: 35 (Term Time Only) 

 

Purpose of the Role

To provide a professional, welcoming and efficient front-of-house service for pupils, parents, visitors and staff. The postholder will be the first point of contact for the school and will support the smooth running of the school office through a range of administrative and customer service duties.

 

Key Responsibilities

Reception Duties

  • Act as the first point of contact for all visitors, parents, staff and pupils.
  • Greet visitors and ensure safeguarding and visitor procedures are followed.
  • Manage the school reception area, maintaining a professional and welcoming environment.
  • Answer telephone calls and respond to enquiries in a courteous and efficient manner.
  • Receive and distribute deliveries, post and messages.
  • Manage the Upper School inbox, ensuring that emails are replied to in a timely fashion or distributed to the correct person 
  • Support parents with bookings such as lunch bookings and parents evening appointment booking.
  • Assisting with deliveries. 

Administrative Support

  • Maintain accurate pupil records using the school’s management information system. 
  • Produce letters, reports and school communications as required.
  • Assisting with preparation of end of year reports 
  • Be responsible for daily attendance procedures, including checking registers and following up on absences. 
  • Support the organisation of school events, meetings and parents’ evenings.
  • Pull daily reports for pupil lunches and prepare lunch bands and distribute
  • Print daily after school club lists and distribute and termly club registers 
  • Produce termly evacuation registers and distribute   

First Aid 

  • Provide first aid for pupils where trained and appropriate and follow procedure for reporting first aid incidents. 

Communication

  • Liaise with parents regarding attendance, medical information, school trips and general enquiries.
  • Ensure messages are passed promptly and accurately to relevant staff.
  • Support communication through email and school communication platforms.

Safeguarding and Welfare

  • Follow all safeguarding, child protection and health and safety procedures.
  • Manage the signing in and out of visitors, contractors and pupils.
  • Maintain confidentiality at all times.

General Office Support

  • Order and monitor office supplies.
  • Assist the School Business Manager and office administrators with administrative projects and compliance tasks.
  • Undertake any other duties commensurate with the grade and responsibilities of the post.

Person Specification

Essential

  • Excellent communication and interpersonal skills.
  • Experience of working in a busy administrative or customer-facing environment.
  • Strong organisational skills and attention to detail.
  • Ability to manage multiple priorities and work under pressure.
  • Competent in Microsoft Office applications.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Friendly, professional and approachable manner.

Desirable

  • Experience working within a school or educational setting.
  • Understanding of safeguarding responsibilities within education.
